BOOKING AN EVENT (Festive Season)

Booking An Event
Reservations will be held for 5 working days after availability confirmation from our events team to allow sufficient time to arrange for an Event Deposit* of:
- Turkey & Tinsel Festive Lunch: £TBC per person
- Christmas Day Lunch: £TBC per person
- Hogmanay: £TBC per person
– For Hogmanay bookings, please be advised that smaller parties will share tables with other groups.
– Meal pre-orders are necessary and must be received no later than 1st December.
Festive Event Confirmation, Deposits & Balances: (*)
- If we do not receive a confirmation with full deposit payment from you within 5 working days of booking, your booking may be deemed void.
- Any balance for your event booking becomes due by the 1st of December.
- Festive Event bookings made on or after the 1st of December must be paid in full within 5 working days.
- All event deposits and balances are non-refundable and non-transferable.

Booking Accommodation (contact the hotel on 01387 40388)
Guests who make bedroom reservations relating to any of the above events or Festive Packages will be asked to secure their reservation with a 50% deposit, which is refundable up to 3 p.m. on 1st December. The full balance payment for accommodation must be by 1st December.
Accommodation Cancellations
If a Festive Season Accommodation Package is cancelled on or after the 1st of November but before the 1st of December, the hotel will refund 20% of the value of the accommodation. If cancellation occurs on or after the 1st of December, the hotel will retain the full value of the accommodation booking as a cancellation fee.
Festive Season Terms & Conditions
- Please Note
a) The party you are contracting with is Friars Carse Country House Hotel Ltd.
b) The hotel’s general manager has the authority to alter these terms and conditions at their discretion. - Number Booked
a) Provisional numbers will be asked for at the time of booking, and the hotel reserves the right to agree to a minimum number to be charged for the event. Final numbers must be confirmed before the 1st of December, subject to any minimum number. This will be the number of guests you will be charged for.
b) The hotel reserves the right to change the designated function room after appropriate consultation if the agreed minimum numbers to attend the event are not met. This does not affect any minimum charge.
c) The Hotel will make every effort but cannot guarantee it will be possible to accommodate additional guests after receiving the final payment. - Payment
Deposits required for festive season events and bookings made before the 1st of December are non-refundable, non-transferable and payable within 5 working days of the initial inquiry. Bookings made on or after 1st December must be paid in full within 5 working days of booking and no later than 20th December. - Cancellation by You, the booking Client
a) Should you cancel your event/booking, a charge must be equivalent to any loss the hotel suffers. The cost incurred for any equipment hired by the hotel on your behalf will be added to any cancellation fee.
b) Event deposits will be retained if cancellation occurs before 1st November.
c) If cancellation occurs on or after 1st December, any balance payments made will also be retained.
d) The cancellation fee is non-transferable. - Cancellation by Hotel
The Hotel may cancel the booking at any time and without obligation to you in any of the following circumstances:- If the hotel or any part of the hotel is closed due to fire, alteration or re-decoration, by order of any public authority, or due to any other reason beyond the hotel’s control.
- If you become bankrupt or insolvent or enter into liquidation or have an administrator, administrative receiver or receiver appointed over all or a substantial part of your assets.
- If the event may, in the Hotel General Manager’s reasonable option, prejudice the reputation of the hotel.
- If the total numbers booked for the event are not deemed to achieve the minimum number acceptable to run the function. This will be communicated no more than 28 days prior to the event. Under these circumstances, a full refund or an alternative date will be provided.
- Liabilities
a) Please safeguard your property and the property of your group members. The hotel will not accept any liability for the loss or damage to property, death or illness of or injury to any person unless caused by the hotel’s negligence.
b) Unless the hotel is liable as referred to in (a), you will indemnify the hotel from and against any and all liability for loss or damages arising from the event.
c) You are advised to consider your insurance coverage in respect of (b) above. - General
a) Goods and services may not be bought or sold on the premises. No tickets whatsoever may be sold at the event.
b) The hotel name, logo, telephone number, and website may not be used in any advertising or other publicity without the prior written consent of the hotel’s general manager.
c) No signs, displays, posters or other materials may be fixed to the walls of the hotel rooms without the prior authorisation of the Hotel General Manager.
d) If the contract includes you employing the services of an outside contractor, you will indemnify the hotel against any loss of or damages to property arising or death or illness of or injury to any persons and against all claims, costs, demands, proceedings and damages arising from them.
e) Any outside contractor employed by you must report to the Duty Manager at the hotel and sign the hotel’s standard Contract Indemnity Form. The hotel reserves the right to refuse access to any contractor in appropriate circumstances.
f) The Hotel reserves the right to take photographs and/or video throughout the event and may use these in promotional materials and marketing for the business.
FOOD ALLERGIES
Some of our menu items contain nuts, seeds and other allergens. There is a small risk that traces of these may be in any other dish or food served here. We understand the dangers to those with severe allergies. Please speak to a member of staff who may be able to help you make a suitable choice. Event organisers: you will be asked to identify members of your party who may have dietary constraints or allergies. Our events team and kitchen will make every effort to accommodate the needs of your party but may not be able to in some circumstances, especially if these requirements were not communicated in advance.
